Was die Firma über den Job sagt

Sales Office Manager (m/f/d)

You make sure SQUER's Sales Office runs smoothly, working closely with our Managing Director, our Head of Business Development, and our PMO. You support them in their day-to-day work, from meeting preparation and calendar management, to sales events and outreach. This is not a classic back-office assistant role. You pick up the phone, make sales events happen, and take ownership. You get a wide range of tasks and are trusted to deliver them.

Your Tasks

1. Executive and office support (~35%)

  • Manage the Managing Director’s calendar and appointment scheduling, including external meetings and travel
  • Prepare meetings: agendas, briefings, documents
  • Organise recurring meetings of the Sales Office, write meeting-minutes and follow up on action items
  • Keep documentation, templates and simple status overviews up to date

2. Pipeline management & sales reporting (~25%)

  • Keep our CRM clean and up to date: contacts, opportunities, activities and next steps
  • Make sure the team keeps its pipeline current, and follow up with colleagues when entries are missing or outdated
  • Own our sales reports: prepare them regularly, keep the numbers reliable and flag trends and gaps to management

3. Outreach & campaigns (~20%)

  • Support the team with outreach campaigns by email and by phone
  • Pick up the phone confidently when needed: inviting guests, following up with contacts, arranging meetings
  • Work with Marketing on campaigns and communication around events
  • Keep contacts and activities up to date in the CRM

4. Sales events & follow-up (~20%)

  • Plan and run selected events for sales initiatives (e.g. client dinners, networking and community formats), in close coordination with our Event Manager
  • Deliver events within the agreed budget: obtain quotes, keep track of costs and find smart solutions when things get tight
  • Take care of invitations, guest management, on-site coordination
  • After each event: collect the contact and conversations from the team, turn them into a clear follow-up list and make sure the follow-ups happen
  • We're always open to new ideas: help us keep our event series exciting and try out new formats

Across all areas

  • Suggest and implement improvements to how the Sales Office works
  • Prioritise independently between requests and flag conflicts early

Your Qualifications

Experience

  • 5+ years as Executive Assistant, Office Manager or in a sales-support role, ideally in consulting, tech or professional services
  • Experience organising B2B events, including working to a given budget
  • Comfortable on the phone
  • Experience supporting outreach or marketing campaigns is a plus
  • Hands-on CRM experience (e.g. HubSpot), including pipeline maintenance and sales reporting; confident with Microsoft 365 or Google Workspace and spreadsheets
  • Fluent German and English, written and spoken

How you work

  • Personality: Friendly, outgoing and welcoming; you meet people with a positive, optimistic attitude and enjoy building relationships
  • Ownership: You take a task and bring it over the finish line; people can rely on you
  • Good judgement: You decide confidently within your scope and ask when a decision is irreversible or unclear - not more, not less
  • Drive and initiative: You spot what could work better and propose (and implement) improvements
  • Communication: Confident and professional with executives, clients and partners
  • Flexibility: You keep calm when priorities shift and are available for occasional evening events and peak phases around them
  • Organisation: You juggle requests from several stakeholders and keep an overview
  • Reports to: Head of Business Development
  • Works closely with: Head of Business Development, PMO, Marketing, Event Management

Your Benefits

  • Ownership & Responsibility: at SQUER, we believe in empowering our team. In our flat hierarchies, your ideas and actions matter more than titles. Take the reins, make an impact and grow with us.
  • Learn & Grow: Tap into a € 5.000 annual training budget to sharpen your skills and take advantage of our in-house Leadership Academy. Join and be part of our active tech community through meetups, hackathons and training sessions. Get up to 40h/year additional time off for your personal education.
  • Exciting Challenges & Real Impact: Dive into diverse projects where your work truly makes a difference - for our clients and for SQUER.
  • Flexibility for Performance: Benefit from flexible hours, workations within the EU, and additional vacation days - giving you the freedom to perform at your best.
  • Tailored Tools for Success: Choose your preferred hardware configuration and leverage our suite of AI tools and licenses (Anthropic, OpenAI, and more) to suit your working style.
  • We Value You: Beyond perks and benefits, we offer a competitive annual salary to recognize your exceptional contributions.
  • Be Part of a Thriving Team Culture: At SQUER, collaboration and connection are at the heart of what we do. Through open communication, shared successes, and meaningful team events - including our annual SQUER offsite - we cultivate a culture where everyone feels valued and inspired to grow together.
  • A Perks-Packed Workplace: Work in a central office with a spacious terrace and BBQ, enjoy free lunch in the office, MyClubs sports membership, and either a free “Wiener Linien” ticket or a partial contribution to the “Klimaticket”. Plus, benefit from free massages, referral bonuses, Corporate Benefits, and JobRad. Annual employee presents and a monthly team breakfast add extra value to your work experience.

The annual gross salary for this position ranges from € 45.000,- to € 65.000,- on a full-time basis (all-in), in excess of the applicable collective agreement. The actual offer depends on qualifications and experience.
